Quick Access
The Quick Access panel appears at the top of the Home page and gives you instant access to the data objects you use most. It combines items you manually pin with items that Datafi surfaces automatically based on how frequently you use them.
Overview
Quick Access is designed to reduce the time it takes to get to the data you need. Instead of navigating through the Discover page or searching every time, you pin your most important items and they are always one click away.
Quick Access supports the following data object types:
- Data sources
- Data Views
- Data Apps
- Datasets
Quick Access works like a browser bookmarks bar for your data. Pin the items you use daily, and Datafi keeps them front and center every time you sign in.
Pinning Items
You can pin any supported data object to your Quick Access panel. Pinned items appear in a fixed position at the top of the panel, so they are always visible regardless of usage frequency.
How to Pin an Item
- Navigate to the data object you want to pin. You can find it on the Discover page, the Data Views page, the Data Apps page, or the Datasets page.
- Look for the pin icon on the object's card or detail view.
- Select the pin icon. The item is immediately added to your Quick Access panel.
- Return to the Home page to see the item in your Quick Access panel.
Pin Limit
You can pin a maximum of 10 items to Quick Access at any time.
| Detail | Value |
|---|---|
| Maximum pinned items | 10 |
| Object types supported | Data sources, Data Views, Data Apps, Datasets |
| Scope | Per-user (your pins are visible only to you) |
If you attempt to pin an 11th item, you are prompted to unpin an existing item first.
Your Quick Access pins are specific to your account. Other users in your workspace have their own independent set of pins. Pinning or unpinning an item does not affect anyone else.
Frequency-Based Sorting
In addition to your manually pinned items, Quick Access automatically includes items that you use frequently. Datafi tracks which data objects you open, query, or interact with and surfaces the most-used ones in the panel.
How Frequency Sorting Works
- Datafi monitors your activity across the platform -- opening Data Views, running queries in Data Apps, browsing data sources, and similar interactions.
- Objects you interact with regularly appear in the Quick Access panel alongside your pinned items.
- The more frequently you access an object, the higher it ranks in the frequency-based section.
- Frequency rankings update automatically as your usage patterns change. An object you stop using gradually drops out of the panel.
Pinned vs. Frequency Items
The Quick Access panel has two logical sections:
| Section | Behavior |
|---|---|
| Pinned items | Manually added by you. Remain in the panel until you unpin them. Always appear first. |
| Frequent items | Automatically surfaced by Datafi based on your usage. Rotate as your patterns change. |
Pinned items always take priority. If you pin 10 items, the frequency-based section is not displayed because the panel is at capacity. If you pin fewer than 10, Datafi fills the remaining slots with your most-used objects.
Adding Items to Quick Access
There are several ways to add items to your Quick Access panel:
From the Discover Page
- Browse or search for the data object.
- On the object's card, select the pin icon.
- The item appears in Quick Access on the Home page.
From a Data View
- Open the Data View.
- In the Data View header or toolbar, select the pin icon.
- The Data View is added to Quick Access.
From a Data App
- Open the Data App.
- Select the pin icon in the app header.
- The Data App is added to Quick Access.
From the Datasets Page
- Find the dataset in the list.
- Select the pin icon on the dataset card.
- The dataset is added to Quick Access.
A good rule of thumb: if you access a data object more than once per day, pin it. This saves time and ensures it never rotates out of the frequency-based section unexpectedly.
Removing Items from Quick Access
Unpinning an Item
- Go to the Home page.
- In the Quick Access panel, find the pinned item you want to remove.
- Select the unpin icon (or the pin icon, which toggles).
- The item is removed from your pinned list immediately.
After unpinning, the item may still appear in Quick Access if it qualifies as a frequently used object. To fully remove it from the panel, you need to reduce your usage of that object over time.
Clearing Frequent Items
Frequency-based items cannot be manually removed from the panel. They are calculated automatically and rotate based on your activity. If you want an item to stop appearing:
- Stop interacting with it, and it will gradually drop off.
- Pin other items to fill the 10-item capacity, which displaces frequency-based entries.
Best Practices
- Pin your core workflow items first. Start with the 3-5 data objects that are central to your daily work, then add more as needed.
- Review your pins periodically. As projects change, unpin objects you no longer need and pin new ones. Keep the panel relevant.
- Let frequency sorting do the work for secondary items. You do not need to pin everything. For objects you use regularly but not daily, let the frequency algorithm surface them naturally.
- Coordinate with Data Views and Data Apps. If you build a Data View or Data App that you use repeatedly, pin it rather than navigating to it through the sidebar each time.
Quick Access and the Action Center are two separate sections on the Home page. Quick Access is for navigating to data. The Action Center is for notifications and tasks. They complement each other but serve different purposes.
